Knowledgebase Management

Overview

Knowledgebase feature allows you to create Site Pages in CMS and then group them in Categories and Sections, define their sequence for easy browsing. To create knowledgebase in your microsite, enable Knowledgebase feature from Site Admin->Site Details->Features. Also create a few site pages in CMS.

KB Index Page

Index page shows panels for each category in the system. Each panel shows upto 6 items from that category. These 6 items can be specified by setting those items as Featured, or if no featured item is specified in a category, then most recently modified 6 items are shown automatically. Using the KB editor, you can define these categories and map the CMS pages to these categories. Each panel also provides a link at the bottom that shows count of total pages in that category, and it links to Category index page.

Category Index Page

Category index page shows all the pages in that category. These pages can be organized in Sections. For each section, you will see one block on this page that shows pages from that section in the ordering specified on these pages. To re-order the pages in section, you can use KB editor. A category can have many sections, although it is not mandatory to create any section. While editing the KB in editor, you can define these sections and map the pages to them. If some pages are in category, but are not in any section, then they are shown under a default section heading all.

 

Page Properties

For each site page, you can define several properties including Title, Category and Section. As you start typing in category or section, you will see an auto suggested list based on existing values already specified in any other page. You can choose a value from these suggested values or enter a new one (typing is allowed).

Title - Page title that will be presented to user

Keywords - comma separated words can be added, page can be searched using these words through full text search.

Category  - To tag page with a KB category 

Section - To tag page with selected category's section. 

Using KB Editor (Organizer)

The organizer allows you to easily manage your entire collection of site pages from one place and you can create new categories, sections and assign pages to these categories and sections. Open the KB from the menu and click on Edit.

The organizer consists of three columns - Categories, Sections and Documents (pages). Categories list is automatically populated from the Category property defined for any site page. All categories defined for any page would be visible in the list. If you click on a category you can see sections under that category. And by clicking on a section you can see pages in that category/section pair.

Category operations

Click on any category to perform additional operation on it.

Move the categories up/down (sequencing)

Use the arrow up / down buttons, these buttons will be visible when you move the mouse over any category.

Hide/Unhide the Category

Click on hide/unhide toggle button while moving the mouse on any category. Hidden categories will not appear on the KB Index page.

Create New Category

Use the text field below the last category and click Save to add a new category.

Section Operations

Move the sections up/down

Use the arrow up / down buttons when you move the mouse on any section.

Create New Section

Use the text field below the last section and click Save to add a new section.

Pages Operations

The last column shows pages in the site. At any point, this column will have 3 parts. The top part will show all pages that are already in the selected category and section. Middle part will show pages that are in the currently selected category but are not in current section. The bottom part will show pages that are not yet categorized.

Unlink from current section

This action is available in top part. You can use minus button to unlink the page from current section.

Add/Remove Featured

This action is available in top part. You can use the star button to add a page to featured pages or remove it from featured pages in the current category. Featured pages (if defined) will show in the knowledgebase index page that shows all categories and at most 6 pages from each in a panel.

Add to section

This action is available in middle part. You can use the plus button to add a page (that is in current category but not in current section) to current section.

Remove from Category

This action is available in middle part. You can use the minus button to remove a page from current category, and move it to uncategorized list.

Add to Category+Section

This action is available in bottom part. You can use the plus button to add an uncategorized page to current category and section.

Page Property - TOC

By enabling TOC setting, A TOC section can be presented using H1.H2.H3 heading present in the page content. 

Page Property - Related Documents

Using related document setting, A related section can be created, that includes link of all page belonging to same section of a category.
